Qualifications

  • An ABA-approved paralegal program is often preferred
  • Florida Registered Paralegal (FRP) through The Florida Bar
  • 3–5+ years in a law firm or legal department
  • Experience in Real Estate & Construction, litigation
  • Drafting pleadings and legal documents
  • Case management software experience
  • Microsoft Office proficiency
  • Calendar and deadline management
  • Knowledge of Florida court procedures

General Responsibilities

I.    Litigation and Dispute Support

A.    Matter Intake and Case Administration

  • Open and maintain litigation files (physical and electronic) for litigation, pre-suit disputes, demand letters, subpoenas, regulatory inquiries, compliance matters, etc. upon:
  • Track key case data and organize each matter
  • Maintain centralized Litigation/Claims Tracker (status, deadlines, budgets, reserves)
  • Coordinate with internal business units for fact gathering
  • Receive and log service of process and legal notices; route to appropriate attorneys and business units

B.    Calendar and Deadline Management

  • Calendar and monitor various deadlines
  • Coordinate with outside counsel to confirm deadline ownership 
  • Escalate critical deadlines to GC proactively

C.    Document Collection, Records Coordination, Discovery and Case Support

  • Coordinate collection of documents from business units
  • Organize, index, and maintain litigation and dispute files
  • Assist with preservation and litigation hold implementation
  • Maintain version control and defensible file organization
  • Coordinate assembly of exhibits, chronologies, binders, and supporting files
  • Assist GC with preparation and coordination of: document productions, responses to discovery, privilege logs, factual chronologies, case summaries
  • Track outstanding document requests and production status

D.    Outside Counsel Coordination

  • Act as administrative and coordination point for outside counsel
  • Route documents, factual materials, and internal information as directed by counsel
  • Ensure outside counsel receives timely documents and information

E.    Hearing, Mediation, and Trial Preparation

  • Assist with scheduling and logistics
  • Prepare draft exhibit files, case binders, witness files, and supporting materials
  • Coordinate internal attendees and document readiness 
  • Support preparation of internal case status reports

F.    Coordination responsibilities

  • Coordinate with the Risk Analyst to obtain claim-related documentation relevant to Legal
  • Maintain legal file copies of insurance-related materials as needed for the litigation or dispute file
  • Help ensure outside counsel receives materials authorized for release by Legal
  • Track legal deadlines and litigation activity separate from claim handling

II.    Compliance & Regulatory Support

A.    Compliance Tracking and Administration 

  • Maintain calendars and trackers for legal compliance obligations
  • Track internal and external deadlines
  • Assist counsel with compiling backup materials for compliance reviews

B.    Policy & Procedure Administration

  • Maintain legal department templates, forms, and standard procedures
  • Assist with updates to internal compliance-related policies and workflows
  • Maintain organized records of current versions and implementation dates

C.    Contract Compliance Monitoring

  • Track key legal notice, cure, warranty, and deadline provisions under contracts as assigned
  • Flag upcoming legal deadlines or risk points to supervising counsel
  • Assist with coordination of contract-based notices and supporting documentation

D.    Regulatory and Internal Inquiry Support

  • Help organize responses to agency requests, subpoenas, turnover requests, audit-related requests, and other formal inquiries
  • Assemble records and supporting materials for attorney review
  • Maintain tracking of open requests and response deadlines


III.    Document Control, Record Management and Internal Coordination Responsibilities

A.    Training & Internal Coordination

  • Support legal training initiatives:
  • Documentation preparation
  • Attendance tracking
  • Coordinate with departments for compliance alignment
  • Request and follow up on documents, factual summaries, and supporting information needed by Legal
  • Represent the Legal Department in cross-functional meetings as delegated

B.    Information Flow Management 

  • Maintain structured digital filing system (by matter, project, or entity)
  • Ensure version control and audit trail integrity
  • Maintain contract templates, clause libraries and execution workflows
  • Manage retention schedules 
  • Assist with execution of documents
  • Perform legal and companywide projects as needed
